NEW LIFE ADMINISTRATIVE ASSISTANT
Reports to: Lead Pastor
Direct Reports: None
Objective: To assist the pastor and team leads in fulfilling the mission of NewLife Church by providing administrative assistance.
Spiritual Gifts Needed: Administrative, Leadership, Serving
Part-Time: 15 hours
Position Overview:
The Administrative Assistant is an administrative position that involves working with the Lead Pastor and Team Leads with tasks and team organizational skills needed to accomplish the mission of NewLife Church. This position requires a highly organized individual who can multi-task with various demands. Confidentiality and the ability to discern personal information without divulging confidences are necessary. This position directly supports the Lead Pastor and is one of the first persons the public sees and talks to. It is also a key point of contact for members, guests, and those seeking help and connection with the Lead Pastor and staff at NewLife Church.

Professional Qualifications:

Ability to meet weekly and long-term deadlines and to capture critical details
An understanding of the importance of confidentiality and the ability to maintain confidence
Critical thinking skills as they pertain to process and pre-planning
Minimum of a High School Diploma. Associate or Bachelor’s degree preferred
Previous administrative office duties preferred
Proficient in Microsoft Word, Excel, Powerpoint, Google Docs, G-mail, Google sheets, and Social Media (Facebook)
Essential Duties and Responsibilities:
Perform Administrative duties for the Lead Pastor.
Act as the filter for access to Lead Pastor. Receive requests for meetings with the Lead Pastor and maintain his calendar.
Notify the Lead Pastor, team members, congregational care, and prayer team leads of any hospitalizations, deaths, etc.
Collect and forward credit card transactions to the Lead Pastor weekly.
Per the established process, handle benevolence requests and coordinate needs with the Benevolence team.
Handle counseling requests and coordinate needs with appropriate counseling options.
Forward prayer requests to the Prayer team.
Update database for new guests and families and send new guest information to team lead for “card ministry.”
Update the database with Baptism and Member information
Receive requests for payment/reimbursement and electronically process check requests
Post weekly attendance on Google Sheets. Provide giving and attendance information on the church’s Facebook page and email to staff and Advisory team weekly
Update weekly virtual bulletins
Keep updated staff contact information
Answer phone and check voicemail and messages on the church phone
Assist with scheduling and organizing events throughout the year by collaborating with ministry department leads
Coordinate and organize NL hosts for weddings, funerals, and special church rentals
Work with Administrative Assistants within the Zero Collective for best practices
Print brochures/fliers/posters/volunteer tags as applicable
Maintain and organize office supply storage area(s)
Order office, janitorial, and coffee bar supplies
Pick up, distribute, and disseminate mail and correspondence. Funnel requests meetings/information from appropriate team members.
Assist in the preparation of the administrative budget process annually
Assist in the preparation of the annual District reports
Coordinate volunteers to maintain the administrative duties when staff is unavailable
Maintain a church internal calendar and building use schedule Google Sheet
Oversee and provide assistance to the Hospitality team leads as needed

ZERO COLLECTIVE MISSIONS DIRECTOR
Role Title: The Zero Collective Missions Director
Reports to: The Zero Collective Senior Pastor
Time Commitment: Part-time (10-15 hr per week)
Summary: The Zero Collective Missions Director coordinates and facilitates missional activities across the Zero Collective network of churches. This role involves supporting and equipping individual churches to engage in outreach and global missions. The Zero Collective Missions Director fosters collaboration, resource sharing, and strategic planning to maximize the impact of the network's missional efforts. The Director catalyzes missional engagement within the network, fostering a culture of outreach, collaboration, and impact. This role is pivotal in ensuring that the network's churches are equipped, empowered, and actively involved in spreading the gospel locally and globally. This requires coaching and resourcing church leaders and members, enabling them to inspire and mobilize their congregations for effective mission work. The Zero Collective Missions Director empowers churches by connecting them with relevant resources, training opportunities, and collaborative partnerships, fostering a sense of ownership and shared purpose in the Great Commission.
Key Responsibilities:
Strategic Planning & Vision:
Develop and implement with the assistance of the Missions Team, a network-wide global mission strategy that aligns with the overall vision and goals of the network.
Identify key missional priorities and opportunities for the network, considering local and global contexts.
Collaborate with church leaders and pastors to ensure alignment of individual church missions with the network's strategic direction.
Resource Mobilization & Management:
Facilitate resource sharing and collaboration among network churches for missional initiatives.
Identify and implement a network funding strategy for each network church's missions, projects, and initiatives.
Develop and manage a network-wide missions budget, focusing on mission trips and allocating resources effectively.
Manage Global Mission Partnerships and any trips associated with those Global Partners.
Leadership Development & Training:
Equip and empower church leaders in the network to lead and implement effective missions programs.
Provide training and resources on various aspects of missions, including outreach strategies, cross-cultural engagement, and global mission partnerships.
Facilitate leadership development opportunities for individuals involved in missions within the network.
Partnership Development & Collaboration:
Build relationships with other organizations and networks engaged in missions to foster collaboration and resource sharing.
Identify and cultivate partnerships with global mission organizations to support mission efforts by being the primary point of contact.
Facilitate collaborative efforts between network churches and global mission agencies to maximize impact.
Communication & Engagement:
Communicate the global network's missions, vision, goals, and activities to network churches and members.
Develop and maintain a network-wide missions communication strategy to inform and engage members in global missional initiatives.
Promote and celebrate missional accomplishments within the network to encourage continued engagement.
Monitoring & Evaluation:
Establish metrics and processes for monitoring and evaluating the effectiveness of the network's mission activities.
Analyze data and feedback to identify areas for improvement and optimize mission strategies.
Provide regular reports to network leadership on the progress and impact of mission initiatives.
Other Responsibilities:
Meet regularly with the Senior Pastor of the Zero Collective.
Meet regularly with each Zero Collective Network Church’s Lead Pastor to maintain the vision for global missions within their churches.
Meet regularly with The Zero Collective Missions Team.
Attend Zero Collective staff meetings and Network Church meetings as needed.
Various on-stage responsibilities include hosting and missional communications, which are typically done in conjunction with the local church mission liaison.
Regular presence and interaction at all Zero Collective Churches.
All other duties as assigned.
